UWC is looking for a highly organised individual to help our team with operations, office tasks, and data management. The Junior Financial and Team Administrator will provide key support to keep the office running smoothly and help the team work together effectively.This role includes a variety of responsibilities like processing documents, entering data, building and maintaining the filing system, and analyzing information to help with decision-making, along with regular office administration tasks.
Roles and responsibilities
Key areas of work include:
- Manage accounts payable/receivable processing, invoice management, day-to-day relationships with banks.
- Provide administrative support to team members with their project coordination and communication.
- Oversee daily office operations.
- Help team to create materials by organizing information, drafting letters, and managing UWC’s correspondence.
- Collaborate with team on data entry for programs like donor management, bookkeeping, expense tracking.
- Keep records and databases updated, ensuring data is accurate and confidential
Among other areas of responsibility:
- Schedule, coordinate and support meetings, appointments.
- Assist in preparing and sharing meeting agendas, minutes, and follow-up tasks.
- Collect and analyze data to help the team reach its goals.
- Maintain reports and dashboards to help track project progress.
- Serve as a contact for internal and external communication.
- Draft letters, reports, and presentations as needed.
Selection Criteria
We are looking for someone with, at minimum, a college diploma and some work experience, with at least 3 years in a similar role, with a good understanding of daily office operations. Ideally a candidate will come with some experience with applications such as MailChimp and QuickBooks, and familiarity with the CMA or similar donor management programs would be a plus.

- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite and other relevant software.
- Ability to work independently and collaboratively in a team.
- Sensitivity to multicultural and international environments and ability to build positive relationships with clients and colleagues.
Languages: Fluency in Ukrainian and English is required; other languages are a bonus
